Terms and Conditions – Misión Gaia Spanish School

Welcome! These terms explain what to expect when you book Spanish classes with us. They are fair, clear, and designed to protect both you and Fundación Misión Gaia.

By submitting your enrollment form and making payment, you agree to these terms.

1. Our Agreement You are contracting with Fundación Misión Gaia (FMG), a non-profit organisation registered in Santa Marta, Colombia (NIT 900443803-3), located in Minca, Sierra Nevada de Santa Marta.

2. Price The price is shown in your invoice and depends on the program, total hours, level and group size. Materials are included. Some optional activities may have an extra cost.

3. Payment

• Full payment is required in advance (bank transfer, credit card or PayPal).

• PayPal payments include a small extra fee.

• Bookings made more than 2 months in advance require a 50% deposit; the balance is due 3 weeks before the start date.

• You are responsible for any bank fees on international transfers.

4. Course Schedule

• Classes run Monday to Friday (excluding Colombian public holidays).

• Each lesson lasts 50 minutes.

• Lessons are normally scheduled between 9:00 am and 6:00 pm, according to mutual availability.

5. Changes and Cancellations by You

• Changes to dates or program: must be requested in writing at least 10 days before the start → COP 100,000 (~USD 25) administration fee.

• Full cancellation: 

• More than 30 days before start → refund minus COP 250,000 (~USD 65) admin fee. 

• 15–30 days before → 50% of total fee charged. 

• Less than 10 days or after start → no refund.

• Exceptions (serious illness, emergency, force majeure) are considered case-by-case with supporting documents.

6. Missed Lessons & Public Holidays No refund or make-up class for lessons missed by you or due to public holidays. Missed holiday lessons may be rescheduled on Saturdays when possible.

7. Accommodation Optional and subject to availability. We offer discounted rates in shared/private rooms at our centre or with host families.

8. Activities & Excursions All activities are described as a guide only. Final details will be confirmed with you before each activity. Any activity that requires an additional cost (such as transportation, special ingredients, entry fees, or optional excursions) will be clearly discussed with you in advance. You will only participate if you agree to cover the extra cost.

9. Travel, Transfers & Visas Course fees do not include flights, visas or airport transfers. Airport transfer can be arranged for an extra fee. You are responsible for your own travel documents.

10. Our Expectations We expect respectful behaviour from everyone. Illegal drugs, excessive alcohol or disruptive conduct are not tolerated. In serious cases we reserve the right to cancel your participation and accommodation.

11. Complaints Please tell us as soon as possible if something is wrong. Complaints after the course ends can only be considered if you raised them during the course.

12. Data Protection (important for EU/UK residents) We collect only the personal data we need to organise your course and communicate with you. We collect and process your personal data in accordance with our Privacy Policy. Please read our full Privacy policy here: 

If you are in the EU or UK, we fully comply with GDPR. You have the right to access, correct or delete your data at any time – simply contact us at info@misiongaia.org. Your data will never be sold or shared with third parties for marketing.

13. Governing Law These terms are governed by Colombian law. Any disputes will be resolved in the courts of Santa Marta, Colombia.

Acceptance By ticking the box in the application form or completing payment you confirm that you have read, understood and accept these Terms and Conditions.

You can also review and sign them digitally online – we will send you a secure link (via DocuSign or similar) once your booking is confirmed.
